List each participant on its own line as "Name, rate" to price them individually, or turn on the uniform rate option and set one hourly rate for everyone in the room. Set the meeting length in minutes, pick a currency, and add an overhead surcharge to account for prep time, follow-up work or opportunity cost that a flat hourly rate alone misses. Mark the meeting as weekly, every two weeks or monthly and the report projects what it costs across a year, not just once.

The report also compares the meeting to sending a short written summary instead: set how many minutes reading that summary would take and the tool shows what it would cost the same group, alongside the savings.
