Out of office reply generator

Set your away dates, a backup contact and a tone, and this tool writes a complete out-of-office auto-reply ready to paste into Outlook, Gmail or any other mail client. It saves the few minutes of staring at a blank "automatic reply" box before every trip, and keeps the wording consistent every time you set one.

Choose exact dates or a general period, pick a formal or informal tone, and set how quickly you'll respond once you're back — right away, within a business day, or after a short backlog. The audience option controls whether you get one message for everyone, a version aimed at colleagues or at external senders, or separate internal and external sections. Pick Outlook automatic replies as the format and the tool always fills both the "inside my organization" and "outside my organization" boxes that Outlook expects, even when you only tailored one of them.

Add a backup contact's name and email or phone for anything urgent, and adjust the length from a short one-liner to a detailed reply with an extra courtesy line. Turning on a second language appends a translated variant — German, French, Spanish, Italian or Polish — separated from the main message, useful when your inbox gets mail from more than one region.

Everything is generated in your browser as you adjust the options; nothing you type is uploaded anywhere. Copy the result, download it as a .txt file to keep on hand, or send it to another tool to keep editing.

FAQ

Can I set exact dates instead of a general period?
Yes. Switch the Dates option to "Exact dates" and fill in the start and return dates; switch to "General period" to describe the absence in words instead, like "the next week".
How does the Outlook format differ from the plain one?
Outlook's automatic replies feature always needs a message for people inside your organization and one for people outside it. Choosing that format fills both boxes — using your tailored internal or external wording where you set one, and the general message for the other.
What does the second-language option add?
It appends a short translated version of the same reply — in German, French, Spanish, Italian or Polish — after a divider, so senders writing in another language still get the key details.
Do I need to fill in a backup contact?
No. Leave the name blank and the reply skips the "for urgent matters, contact…" line entirely.
Is any of this sent to a server?
No. The reply is generated entirely in your browser from the options you choose — nothing is uploaded or stored anywhere.
